Scion Staffing has been engaged to lead the search for an experienced Executive Assistant with an international nonprofit addressing mental health. This is a direct hire opportunity offering a competitive pay salary and the opportunity to make an impact with a truly passionate and innovative team!

RESPONSIBILITIES:

  • Managing the President’s schedule and agenda
  • Assisting with travel arrangements, visas, flight and accommodation bookings etc. 
  • Coordinating and scheduling meetings/calls and providing support: compiling agendas and papers, sending out invitations, taking minutes, etc.
  • Assisting with the preparation of PowerPoint presentations and other material for meetings/conferences etc.; organizing remote meetings using Zoom, Google Docs, spreadsheets, slides (Google Workspace)
  • Assisting with email correspondence: drafting emails, organizing email accounts/archives, etc.
  • Assisting with and responding to requests from Committee Chairs on the President’s behalf
  • Assisting with preparing the President’s annual budget request
  • Managing the President’s office: preparing expense reimbursement claims, corporate credit card payment reconciliations, liaising with the Accounts team re. claims and payments, occasional purchasing of office supplies/equipment
  • Liaising with the Secretary to the President and other Staff
  • Database research to produce lists, statistics; assisting with research for psychoanalytic talks and articles
  • Assisting with the planning of conferences and congresses, in liaison with staff; potentially travelling to the location of the biennial Congress to provide support
  • Any other appropriate duties assigned by the  Executive Director

QUALIFICATIONS

  • 3+ years of experience working as an Executive Assistant
  • Post-secondary education and/or equivalent relevant experience
  • Very well organized and self-motivated
  • Well-developed time management and multi-tasking skills, and strict adherence to deadlines
  • Discreet and able to maintain confidentiality when required
  • Excellent spoken and written English, including drafting formal letters and reports
  • Advanced office skills: Microsoft Word, PowerPoint, Excel, Google Workspace; remote communications platforms and tools (e.g., Zoom, GoToMeeting)
  • Willingness to work occasional weekends and evenings (IPA members are located worldwide and do their voluntary work outside their normal working hours; staff help may be required)

COMPENSATION:

This opportunity offers the opportunity to get one’s foot in the door with internationally established nonprofit addressing mental health! Additionally, this role offers a competitive pay salary of $85,000-90,000 annually plus comprehensive benefits!
